The year 2025 marks the 60th anniversary of the establishment of diplomatic relations between Japan and the Republic of Malta. In celebration of this landmark year with as many people as possible and for further promoting exchanges between the two countries, a wide range of events that will be held in Japan and in Malta can be endorsed as commemorative events celebrating the 60th anniversary of diplomatic relations. Endorsement guidelines for commemorative events are as follows:

1. Eligibility

  1. Events should aim to deepen mutual understanding and promote friendship between Japan and the Republic of Malta in a wide range of areas such as culture, art, sports, education, tourism, economic, and science.
  2. Events should take place in the Republic of Malta in 2025 in principle, but events to be held in January-March of 2026 may also be eligible for examination, depending on their purposes and other factors as an exception.
  3. The logo can be used only for printed materials and online information related to the activities/events in question.
  4. An event that does not fall under any of the cases below:
    • a. An event against public order or public morality,
    • b. An event that violates or may violate the laws and regulations of Japan, Malta, or other country where the event is implemented,
    • c. An event that does not serve the purpose of commemorative events, which is to promote friendship between Japan and Malta,
    • d. An event that advocates a particular belief, political ideology or religion,
    • e. An event for mainly profit-purposes, and
    • f. An event that does not serve public interest.

2. Application Process

  1. Documents to be submitted
    • a. Application form (Word)
      [NOTE] Documents outlining the event, e.g. list of work to be presented, detail of the work, programs, application guidelines.
    • b. Budget form (Excel)
      [NOTE] Only if there is income or expenditures for the event.
    • c. Pledge form (Word)
    • d. Documents outlining the applicant organization
      [NOTE] Individuals and Non-organizations do not have to submit (d).
  2. Where to submit applications: In principle, event organizers should submit the above-mentioned documents for application by email to the following, with the documents arriving three weeks prior to the event. If you are considering printing the logo on brochures, etc., please submit your application well in advance, taking into account the number of days required for printing.

  3. Once the application has passed the examination process, the organizers will be notified of the results. If the event is approved as a commemorative event, the organizers will be able to use the official logo on their websites, social media, and in other promotional media for the event.

3. Report on the completion of the event

After the completion of the event, a summary form (Word) on the content or the results of the event should be submitted to the Japanese authority that issued the approval of the event.

4. Points to Note

(1) Notes for sending applications

  • a. Submitted documents will not be returned to the applicant.
  • b. We may contact you and ask for submission of additional documents if application is incomplete.
  • c. Last-minute application or application lacking sufficient documentation may not be accepted.
  • d. We cannot respond to any inquiries regarding the examination process.

(2) Notes for the preparation and implementation of events

  • a. Organizers of the event shall bear full responsibility for the implementation of the event, and the approval of the event does not impose any responsibility on Embassy of Japan in Malta. The approval of the event does not mean providing financial support for the event.
  • b. In a case that the event is cancelled, or a major change of the event is made since its application, the information should be reported promptly to Embassy of Japan in Malta.
  • c. The approval may be withdrawn if any of the following cases apply.
      • When the organizer does not report promptly to the appropriate authority in case the content of the event was changed from the time of application.
      • When it turns out that the event falls under any of the cases of 1(3) (a) to (f), due to details of the event that had not been included in the application documents, or to the changes in the content of the event from the time of application.
      • When the organizer changes the aspect ratio, color or design of the anniversary logo, or used the anniversary logo for non-authorized events.
