The Ninth Tokyo International Conference on African Development (TICAD 9) will be held from 20th to 22nd August 2025 at PACIFICO Yokohama in Yokohama, Japan.
The Ministry of Foreign Affairs in cooperation with the co-organizers of TICAD 9 is inviting applications for TICAD 9 Events during TICAD 9.
Organizations such as international organizations, research institutes, and NGOs (civil society organizations), who have an interest, are kindly requested to fill in the attached application form (Excel) and send it to Secretariat for TICAD by e-mail, no later than Friday, 25th April, 2025. Applications will be closed when the limited number of applicants is reached. The result of the application will be informed to all applicants individually.

[Note] During TICAD 9, the following (1) to (5) will be referred to as “Thematic Events”. This application guideline is for (3) below.

  • (1) Thematic Events that are approved as Partner Projects (Partner Projects that are held in the vicinity of the venue during TICAD 9 can be referred to as “Thematic Events”)

  • (2) Thematic Events of which the venue is provided by the Ministry of Foreign Affairs (seminars, symposiums)
  • (3) Thematic Events of which the venue is provided by the Ministry of Foreign Affairs (booths and panel displays).
  • (4) Thematic Events of which the venue is provided by JETRO (seminars, symposiums)
  • (5) Thematic Events of which the venue is provided by JETRO (booths and panel displays). The application period has ended.

Please note that booth exhibition and panel exhibition organized by private sectors will be held under the above (5) category, please contact the Japan External Trade Organization (JETRO).

1. Objective

TICAD is an international conference where diverse stakeholders participate in and share their insights on African development. The official Thematic Events will provide TICAD participants with an opportunity to exchange ideas related to African development.

2. General Information

(1) Schedule for the exhibition

  • Wednesday, 20th August through Friday, 22nd August 2025 (3 days)
  • From 10:00 am through 7:30 pm (On 22nd August, from 10:00 through 2:00 pm only and all articles must be removed by the end of the day.)

(3) Criteria for approval

  • Exhibition that relates to African development or showcases Japanese values and that is expected to strengthen Japan-Africa relations or to make useful inputs to the process of TICAD.
  • In principle, an organizer should be based in Japan or has a contact point in Japan.
  • During the exhibition, organizer must be present on site.

Disqualification for event:

For example:
Profit-oriented exhibitions or exhibitions with poor public interests.
Exhibitions involved with political, religious or other similar activities.
Exhibitions contrary to public order and morals.
Exhibitions which are considered as diplomatically inappropriate.
Exhibitions which offer food or drink
Exhibitions involved with fund-raising or dealing product sales.

3. Important Notices

  • (1) In case an exhibition is organized by more than one organization, the organizers are kindly requested to specify a main organizer in the application form.
  • (2) In principle, one organization can apply one booth or panel.
  • (3) Booths (2m wide) (see PDF) Open a New Window will be available at an exhibition hall.
  • (4) An event company contracted with Ministry of Foreign Affairs will be in charge of exhibition space management such as setup, clear-up and maintenance of space, and arrangement of additional options, while an exhibitor is responsible for articles management such as delivery, display, and maintenance and clear-up of articles. Expenses a flat fee of approximately 30,000 Japanese Yen for one exhibition space will be borne by an exhibitor. These expenses will cover costs such as setting up and clearing up of exhibition, exhibit fee and electricity costs.
  • (5) A standard exhibition space is equipped with the following items. The space and equipment are subject to change depending on the application situation. Please note that the equipment available is not necessarily identical to that of the booth/panel exhibits at the JETRO event.

    • One Desk
    • Two Chairs
    • Two Lightnings
    • One signboard of an organizer’s name (90cm (width) x 20cm (height))
    • Two Outlets

4. Other notes

  • (1) Approval of the Thematic Events does not mean granting a subsidy for holding an exhibition. No financial or physical support other than the support stated in 3. above will be available.
  • (2) All the responsibilities as for holding an exhibition are to be borne by an organizer, even though the exhibition is approved as an event of TICAD 9. The Ministry of Foreign Affairs will not take any responsibility for incidents such as accidents, injuries, and property losses in conducting the exhibition.
  • (3) Even though an exhibition meets criteria for approval of a Thematic Event, the event will not always be approved as a Thematic Event due to the limitation in the venue capacity. The criteria for approval of a Thematic Event described in 2. (3) above is subject to change by the Secretariat for TICAD due to an application situation.
  • (4) An exhibition cannot necessarily be held at the requested location.
  • (5) We do not accept applications submitted by any means other than e-mail.
  • (6) An exhibitor is kindly requested to send in a report of the event outline in Japanese or English within one month after the event ends by e-mail to Secretariat for TICAD.
  • (7) In case any modification such as modification of an implementation plan or cancellation of the exhibition is made, the exhibitor must inform the Secretariat for TICAD about such modification immediately in writing.
  • (8) Even though an exhibition is approved as a Thematic Event, the approval will be cancelled in such cases as false application and violation of criteria for approval, or in case the Secretariat for TICAD considers cancellation is necessary.
  • (9) The Ministry of Foreign Affairs and TICAD co-organizers will not take any responsibility for incidents such as accidents, injury, and property loss.
  • (10) Event organizers must comply with Japanese domestic laws and regulations when holding their events.

5. Procedure of application

  • (1) Application will be accepted until Friday, 25th April, 2025. After the screening process proceeded by the secretariat for TICAD and co-organizers, a decision is made on certification or non-certification. We plan to inform you about the decision by Friday 30th May (to be determined).
  • (2) After the notification, the organizer of Thematic Events will coordinate with an event company in preparing for Thematic Events. The contact point of the company will be informed after the notification. The event company will be in charge of coordination with the organizer.
  • (3) The TICAD 9 official logo will be provided to the certified organizers.
  • (4) Information on TICAD 9 Thematic Events will be posted on related TICAD 9 website and so on.
  • (5) Objections to the result of certification as a Thematic Events and modification of designated location of exhibition will not be accepted.
