Japan-Luxembourg Relations

1. Events should aim to deepen mutual understanding and promote friendship between Japan and Luxembourg in a wide range of areas such as culture, the arts, sports, education, tourism, economic cooperation, science and other related fields.
2. In principle, events should take place in Japan or Luxembourg in 2027. However, events to be held at the end of 2026 or beginning of 2028 may also be eligible, depending on their purposes.
3. Events must not fall under any of the following categories:
   1. Events that are contrary to public order or public morals.
   2. Events that violate, or may violate, the laws and regulations of Japan or Luxembourg.
   3. Events that do not contribute to the purpose of commemorative activities, namely the promotion of friendship between Japan and Luxembourg.
   4. Events that promote or advocate a particular ideology, political view, or religion.
   5. Events that lack public benefit or interest.
   6. Events conducted mainly for commercial or profit-making purposes.

1. When organising a project in Luxembourg, the organiser should send the following application documents to the Embassy of Japan in Luxembourg by post or e-mail, no later than six weeks prior to the project. (For information on how to apply for a project in Japan, please contact the Embassy of Luxembourg in Japan.):
   1. Application Form (Word)
   2. Budget Form (Excel)
   3. Letter of Pledge (Word)
   4. Documents outlining the project (e.g., project proposal, list and photos of works to be exhibited in the case of exhibitions, description of works in the case of films or theater, programme, or application guidelines in the case of public exhibitions or competitions).
   5. Documents outlining the applicant organization:
      1. List of board members
      2. Articles of incorporation or equivalent documents (e.g., regulations, bylaws)
      3. History, past activities, and organizational profile
      4. If the organizer and applicant are different entities, documents demonstrating their relationship (e.g., contract)
      Note: Government agencies, local public bodies, diplomatic missions, international organizations, and organizations that have previously co-hosted or received support from the Embassy of Japan in Luxembourg may omit items (i), (ii), and (iii) above.
2. Where to submit applications
   In principle, organizers should submit the required documents by email to the Embassy of Japan in Luxembourg at least six weeks prior to the scheduled event date.

3. Applications received by the Embassy will be examined as necessary by the Ministry of Foreign Affairs of Japan. Once the examination has been completed, the Embassy will notify the organizer of the results.
   If the event is approved as a commemorative event, the official anniversary logo will be provided (the official logo will be sent after its publication). Organizers may use the official logo in promotional materials for the event; however, all promotional materials using the logo must be submitted to the Embassy of Japan in Luxembourg prior to printing for approval.

After the event, organizers must submit a completion report (Word) to the Embassy of Japan in Luxembourg.
Please note that the contents of the submitted report may be used in the Embassy’s public relations materials.

1. Notes at the time of application
   1. Submitted documents will not be returned.
   2. If the documents are incomplete, the Embassy may request additional materials.
   3. Applications submitted later than six weeks before the event or those lacking significant documentation may not be accepted.
   4. The Embassy cannot respond to inquiries concerning the examination process.
2. Notes for the preparation and implementation of events
   1. Even if an event is approved as a commemorative event, the organizer bears full responsibility for its implementation. Approval does not imply that the Ministry of Foreign Affairs of Japan or the Embassy of Japan in Luxembourg assumes any responsibility, nor does it indicate financial support.
   2. If the event is canceled or if major changes are made after application, organizers must promptly report such changes to the Embassy.
   3. Approval may be withdrawn in the following cases:
      1. If the content of the event is changed from the original application without prompt notification to the Embassy.
      2. If details not included in the application become known or if changes cause the event to fall under any of the categories listed in “1. Eligibility (3).”
      3. If the official logo’s aspect ratio, color, or design is altered, or if the logo is used for non-authorized events.
